First Steps to Business AI Adoption
1. Create an Employee AI Handbook
Specify which tools your team can and canât use. Examples of safe, business-grade AI tools include:
- Microsoft CoPilot inside Office 365, built from the ground up for enterprise security.
- OpenAI ChatGPT Business or Teams edition, which has much tighter security controls than the free version.
Avoid using: ChatGPT Free, which retains information and may use it for future model training. This can cause GDPR issues.
Your handbook should also teach employees what they can and canât paste into AI tools. A good rule of thumb is: if you wouldnât want the information made public, donât paste it!
2. Talk to Your Employees About AI Use
Ask whether theyâre already using AI, and approach the conversation with curiosity and openness rather than blame. Employees may already be experimenting, and youâll want to bring that activity into a safe, visible space.
If AI is saving them time and producing quality, reviewed results, look at incorporating its use formally into their workflow where appropriate.
3. Provide Safe Tools to Experiment
If your team shows interest in AI, give them secure options. If you have Microsoft 365, CoPilot is already available. Otherwise, consider purchasing ChatGPT Business licenses.
Combine this with your handbook to make sure employees understand whatâs safe to share and whatâs not.
